WorkPilotAi — Shift scheduling

Workforce cost visibility

Control Labour Costs While Building and Reviewing Staff Rotas

WorkPilotAI shows scheduled hours and estimated labour costs while you plan the rota, highlights potential overtime, and gathers attendance exceptions for review before you approve any hours.

All cost figures are estimates based on the pay rates and information your organisation enters — a planning aid, not a payroll result.

Card required to start. Nothing charged for 30 days. Your selected plan begins automatically unless cancelled.

Why labour costs become difficult to control

Labour is usually the largest controllable cost in a shift-based business, yet it is often only seen clearly once payroll is due. That isn't anyone's fault: rotas are built under time pressure, cover changes daily, and the true picture is spread across a spreadsheet, a time clock and a stack of messages. A few common causes:

  • Building rotas without seeing the expected cost
  • Overtime becoming visible too late
  • Early clock-ins adding paid time
  • Missing clock-outs producing unusually long recorded shifts
  • Leave or availability changes affecting cover
  • Last-minute agency or temporary cover
  • Unfilled shifts leading to overtime
  • Manual timesheet corrections
  • Different pay rates across employees
  • Managing several sites separately
  • Payroll hours approved without sufficient review

Each of these is small on its own. Together, across several weeks or sites, they make the final wage bill hard to predict and harder to explain.

See staffing costs while planning

Instead of costing the rota after it is published, WorkPilotAI keeps the numbers next to the shifts as you build them. Move a shift and the totals change immediately, so you can weigh cover against cost while there is still time to adjust. Managers can view:

  • Scheduled hours by employee
  • Total scheduled hours
  • Estimated cost from entered pay rates
  • Potential overtime
  • Weekly staffing budget comparison
  • Coverage gaps
  • Approved leave
  • Staff availability
  • Different locations or teams

Figures shown while planning are estimates based on the pay rates, shifts and information entered by the organisation. They are not payroll calculations or guaranteed final costs.

Identify avoidable costs before approval

The point where money is most easily lost is the moment hours are approved. WorkPilotAI compares what was planned with what was recorded and puts anything unusual in front of a manager first, so each item can be accepted, corrected or queried:

  • Early clock-ins
  • Missed clock-outs
  • Late arrivals
  • Unusually long shifts
  • Unscheduled attendance
  • Overtime risk
  • Manual time adjustments
  • Scheduled vs recorded hours

WorkPilotAI provides managers with clearer workforce information before hours are approved. Actual savings depend on each organisation’s staffing arrangements, pay rules, policies and management decisions.

Connect rotas, attendance and payroll-ready hours

Cost control works best when every step uses the same information. In WorkPilotAI the rota, the time clock and the timesheet are linked, so nothing has to be re-keyed:

  1. 1Add staff availability and approved leave.
  2. 2Create the rota.
  3. 3View scheduled hours and estimated labour costs.
  4. 4Review coverage and potential overtime.
  5. 5Publish the rota.
  6. 6Track clock-ins and clock-outs.
  7. 7Review attendance exceptions.
  8. 8Approve final hours.
  9. 9Export approved payroll-ready data.

WorkPilotAI prepares approved hours for export. It does not process payroll or make wage payments — your payroll provider or accountant does that.

A practical example

Imagine a fictional bistro with fourteen staff. Reviewing the week in WorkPilotAI, the manager notices that two team members regularly clock in fifteen to twenty minutes early, that three shifts last month had no clock-out, and that one cook is rota'd well above contracted hours while others are under. The draft for next week is also forecast above the weekly staffing budget.

Before approving hours, the manager corrects the missed clock-outs to the actual finish times and agrees a clock-in window with the team. On the next rota, a couple of shifts are moved to spread hours more evenly, and the forecast is checked again against the budget before publishing. Whether this changes the final wage bill — and by how much — depends entirely on that business's circumstances.

Plans and trial

New accounts start with a 30-day trial of a paid plan. A card is required to begin, nothing is charged for the first 30 days, and your selected plan starts automatically unless you cancel before the trial ends.

There is also a limited Free plan for up to five active employees, which an account moves to if a payment fails after the trial, keeping your data until the card is updated. Current plans and prices are on the pricing page.

Frequently asked questions

What is labour cost management software?

It is software that helps managers see what their planned and worked staff hours are likely to cost, so they can make informed rota and approval decisions. WorkPilotAI combines this with rotas, attendance and approved hours in one place.

How does WorkPilotAI estimate labour costs?

It multiplies the scheduled hours on the rota by the pay rates your organisation enters for each employee, then totals them by person, day and week. The result is an estimate, not a payroll calculation.

Are labour-cost forecasts guaranteed?

No. Forecasts depend on the shifts, rates and information entered and can change with sickness, swaps, overtime and other events. Final pay is worked out by your payroll provider.

Can I see costs while creating a rota?

Yes. Scheduled hours and estimated costs update as you add, move or remove shifts, so you can compare the week against your staffing budget before you publish.

Can WorkPilotAI identify potential overtime?

Yes. When someone's scheduled hours go above the limits you set, the rota highlights them as an overtime risk so you can rebalance shifts if you choose.

Can managers review early clock-ins?

Yes. Clock-ins well before a scheduled start are listed as attendance exceptions for a manager to review before hours are approved.

What happens when an employee misses a clock-out?

The shift is flagged as an exception so it doesn't silently produce an unusually long recorded shift. A manager reviews it and sets the correct finish time before approval.

Can I compare forecast labour cost with a staffing budget?

Yes. You can enter a weekly staffing budget and see the forecast labour cost and remaining budget alongside it while planning.

Can WorkPilotAI manage different employee pay rates?

Yes. Each employee can have their own entered pay rate, and extra pay rules can be set up for things like weekends, so estimates reflect your actual mix of rates.

Can I compare scheduled and recorded hours?

Yes. Timesheets show scheduled hours next to recorded hours, so differences are easy to spot before you approve anything.

Can managers adjust attendance records?

Yes. Managers can correct clock times, for example after a missed clock-out. Adjustments are recorded so there is a clear history of what changed.

Can approved hours be exported for payroll?

Yes. Approved hours can be exported as a CSV for your payroll provider or accountant.

Does WorkPilotAI calculate wages or process payroll?

No. WorkPilotAI prepares approved, payroll-ready hours. It does not run payroll, calculate final wages or make wage payments.

Can I monitor labour costs across multiple sites?

Yes. Multi-site plans let you view hours and estimated costs for each location, with managers limited to the sites they look after.

Does AI make staffing or payroll decisions automatically?

No. AI can suggest a draft rota or point out issues, but nothing is published or approved until a manager reviews and accepts it.

Is there a free plan?

There is a limited Free plan for up to five active employees. An account moves to it if a payment fails after the trial, and your data is kept until you update your card. New accounts start with the 30-day trial of a paid plan.

What happens after the 30-day trial?

Card required to start. Nothing charged for 30 days. Your selected plan begins automatically unless cancelled. You can cancel before the trial ends from your account settings.
