Yes. Cleaners sign in from a supported phone, tablet or computer to see their own upcoming shifts from the latest published rota.
Can cleaners clock in and out using their phones?
Yes. Staff clock in and out on their own supported device. Managers can choose which verification checks apply at each site.
Can each cleaning site use separate Wi-Fi verification?
Yes. Where configured, each site has its own authorised Wi-Fi details, and one site's network does not count as a valid check for another site.
Can managers use location verification?
Yes, if they switch it on. A site can have a permitted radius around its address, and clock-ins are checked against it.
What happens when attendance verification fails?
The clock-in is refused and the attempt is recorded for managers to see. Depending on the settings, the employee can request an exception for a manager to review. Verification helps, but it cannot prevent every form of misuse.
Does the app always take employee photographs?
No. Photo requests are optional and off unless a manager turns them on. When enabled, a photo is only requested after repeated refused attempts, and is kept only when an attempt is flagged for review.
Can employees provide availability?
Yes. Cleaners tell you from their own account when they can and can't work, and managers see this while planning.
Can cleaners request leave or shift swaps?
Yes. Leave and swap requests go to a manager to approve or decline. Approved changes update the rota; staff cannot change a published rota themselves.
Can managers review missed clock-outs?
Yes. A missing clock-out is flagged as an exception so a manager can set the correct finish time before hours are approved.
Can WorkPilotAI identify potential overtime?
Yes. When someone's scheduled hours go above the limits you set, they are highlighted so you can rebalance shifts.
Can I estimate cleaning labour costs?
Yes. WorkPilotAI estimates labour cost from scheduled hours and the pay rates you enter, and can compare it with a weekly budget. These are estimates, not payroll figures.
Can I compare scheduled and recorded hours?
Yes. Timesheets show each scheduled shift alongside actual clock-in and clock-out times, so differences are easy to see.
Can approved hours be exported for payroll?
Yes. Approved hours can be exported as a CSV for your payroll provider or accountant.
Does WorkPilotAI process payroll?
No. WorkPilotAI prepares and exports approved hours. It does not calculate tax, run payroll or make wage payments.
