Security scheduling challenges
Security rotas rarely stand still. Sites need cover around the clock, night shifts run past midnight into the next day, and weekends and bank holidays still have to be filled. Each site has its own staffing needs, and one absence at short notice can leave a gap that is only noticed when the shift starts.
When availability lives in text messages and swaps are agreed between colleagues, it is easy for someone to work from an out-of-date rota. At the end of the week, early clock-ins, missing clock-outs and unexpected overtime all have to be untangled before timesheets from several sites can be combined for payroll.
- Day and night shifts, including overnight work
- Weekend and bank-holiday cover
- Different staffing needs at each site
- Last-minute absence and coverage gaps
- Availability scattered across messages
- Unapproved swaps and outdated rotas
- Early clock-ins and missing clock-outs
- Overtime and manual payroll preparation
WorkPilotAI makes these issues easier to see and manage. It does not guarantee security cover or regulatory compliance — those remain management responsibilities.
Schedule security employees across sites
Managers create shifts for each workplace, assign officers to the right site and lay out day, evening and night cover on one weekly view. Availability and approved leave are visible while you plan, scheduled hours add up as you go, and uncovered shifts and potential overtime are highlighted before anything goes out. When the week is ready, publish the rota and every employee can see their latest shifts. Read more about staff rota software.
Manage availability and shift changes
Officers can view their own shifts, tell you when they are available, request leave and ask to swap a shift with a colleague. Every request goes to an authorised manager, who approves or declines it — staff cannot change a published rota directly, so everyone keeps working from the same version.
Site-specific attendance verification
Employees clock in and out using supported devices. Depending on how managers set things up, each site can use:
- Optional location verification with a permitted radius
- Its own authorised Wi-Fi details, where configured
- Clock-in windows around scheduled shifts
- An optional photograph request after repeated failed attempts
One site’s Wi-Fi never validates attendance at another site, and authorised managers review exceptions and corrections. These checks depend on manager configuration and do not prevent every form of misuse.
Organisations should configure workplace monitoring appropriately, inform employees clearly and follow applicable privacy and employment requirements.

Review attendance against scheduled shifts
Each record sets the scheduled start and finish beside the actual clock-in and clock-out. Early clock-ins, late arrivals, missing clock-outs, unusually long shifts and unscheduled attendance are flagged, and any manager correction is recorded before final approved hours are agreed. Managers remain responsible for reviewing attendance records.
Monitor labour costs and overtime
See scheduled hours and estimated labour cost, based on the pay rates you enter, while you build the week. Compare against your staffing budget, spot potential overtime, and check the difference between scheduled and recorded hours once attendance exceptions come in.
WorkPilotAI provides clearer staffing and attendance information to support management decisions. Actual savings depend on each organisation’s staffing arrangements, pay rules, policies and decisions.

Handling overnight shifts clearly
Night work is where most timesheet confusion starts. When planning and approving overnight cover, keep these five points distinct:
- The date the shift starts
- The date the shift ends
- Scheduled start and finish times
- Recorded clock-in and clock-out
- Final approved hours
Checking each one before approving a night shift helps avoid hours landing on the wrong day or being counted twice.
Suitable security organisations
- Manned guarding companies
- Retail security teams
- Office security teams
- Warehouse security teams
- Construction-site security teams
- Event security companies
- Hotel security teams
- Multi-site security contractors
WorkPilotAI is for workforce scheduling and attendance. It is not a patrol, incident or emergency-response system. Smaller teams may also like our small-business rota software page.
Payroll-ready records
Once attendance exceptions are reviewed, managers approve the relevant hours and export payroll-ready records for every site in one file.
WorkPilotAI does not calculate tax, process payroll or make wage payments. Exported records require further review and processing by the organisation, accountant or payroll provider.

Plans and trial
Every new account starts with a 30-day trial. A card is required to start, nothing is charged during the first 30 days, and your selected paid plan begins automatically unless you cancel. There is also a limited Free plan for up to five active employees, which an account moves to if a payment fails after the trial. Current plans and prices are on the pricing page.
Frequently asked questions
What is security staff rota software?
It is software for planning who works where and when across your security sites. WorkPilotAI brings shifts, availability, leave, swap requests, attendance and approved hours into one place instead of spreadsheets and message threads.
Can I schedule day and night security shifts?
Yes. Managers create shifts with their own start and finish times, so day, evening and night cover can be planned side by side for each site.
Can WorkPilotAI support overnight shifts?
Yes. A shift can start one evening and finish the following morning. Managers should check the shift start date, finish time and recorded clock-in and clock-out when approving hours for overnight work.
Can security employees view their rotas on their phones?
Yes. Once a rota is published, employees can see their latest shifts from a phone, tablet or computer.
Can staff provide availability?
Yes. Employees can record when they are available or unavailable, and managers can see this while building the rota.
Can employees request leave and shift swaps?
Yes. Employees can request leave and ask to swap shifts with a colleague from their own account.
Who approves shift changes?
Authorised managers approve or decline requests. Staff cannot change a published rota themselves without approval.
Can guards clock in and out using their phones?
Yes. Employees can clock in and out on supported devices. Managers decide which verification options apply at each site.
Can each site use separate Wi-Fi verification?
Yes, where configured. Each workplace can hold its own authorised Wi-Fi details, and one site’s Wi-Fi does not validate attendance at another site.
Can managers use location verification?
Yes. Optional location verification can be switched on with a permitted radius for each site. Managers can also set clock-in windows and, optionally, request a photograph after repeated failed verification attempts. These options depend on manager configuration and cannot prevent every form of misuse.
Does WorkPilotAI track patrols or incidents?
No. WorkPilotAI is not a patrol, guard tour, incident or emergency-management system. It handles rotas, attendance, leave, labour-cost estimates and approved hours.
Can managers review missed clock-outs?
Yes. Missing clock-outs, early clock-ins, late arrivals and unusually long shifts are flagged so an authorised manager can review and correct them before hours are approved.
Can WorkPilotAI identify potential overtime?
Yes. Scheduled hours are shown as you build the rota, and potential overtime is highlighted so managers can review it before publishing.
Can I estimate security labour costs?
Yes. WorkPilotAI estimates labour cost from the pay rates you enter and can compare it with a staffing budget. Figures are estimates to support decisions, not guaranteed savings.
Can approved hours be exported for payroll?
Yes. After attendance exceptions are resolved and hours approved, managers can export payroll-ready records as a spreadsheet file.
Does WorkPilotAI process payroll?
No. WorkPilotAI does not calculate tax, process payroll or make wage payments. Exported records need further review and processing by your organisation, accountant or payroll provider.
Can I manage multiple security sites?
Yes. Managers can run site-specific rotas, give managers access to the sites they look after and view reports across sites. The number of sites depends on your plan.
Does AI publish rotas automatically?
No. The AI can suggest a draft rota, but nothing is saved or published until a manager reviews and approves it.
Is there a free plan?
There is a limited Free plan for up to five active employees, which an account moves to if a payment fails after the trial. New accounts start with the 30-day trial of a paid plan.
What happens after the 30-day trial?
A card is required to start and nothing is charged during the first 30 days. Your selected paid plan then begins automatically unless you cancel. Current plans and prices are on the pricing page.
