Manage leave and shift changes

Employees view their shifts, share their availability, request leave and ask to swap shifts. Authorised managers approve or decline each request, and nobody can alter a published rota directly without that approval.

Attendance and clock-in review

Employees clock in and out on supported devices. Managers can choose to configure:

  • Optional photograph requests after repeated failed attempts

Authorised managers review attendance exceptions and corrections. These options depend on configuration and cannot prevent every form of misuse.

Review attendance against scheduled shifts

For each employee shift, authorised managers see the scheduled start and finish beside the actual clock-in and clock-out. Early clock-ins, late arrivals, missing clock-outs, unusually long shifts and unscheduled attendance are flagged. Any manager-authorised adjustment is recorded before final approved hours are confirmed.

Labour-cost visibility

Follow scheduled hours and estimated labour costs, based on the pay rates you enter, while you plan. Compare them with your staffing budget, spot potential overtime, and check attendance exceptions and differences between scheduled and recorded hours.

Yes. Scheduled hours are shown as the rota is built, and potential overtime is highlighted for managers to review.

Does WorkPilotAI determine safe staffing levels?

No. Managers set the staffing numbers they need and remain responsible for appropriate staffing decisions. WorkPilotAI shows where scheduled cover falls short of those numbers.

Can I estimate workforce labour costs?

Yes. Estimated labour cost is worked out from the pay rates you enter and can be compared with a staffing budget. Figures are estimates, not guaranteed savings.

Can approved hours be exported for payroll?

Yes. After attendance exceptions are resolved and hours approved, managers can export payroll-ready records as a spreadsheet file.

Does WorkPilotAI process payroll?

No. WorkPilotAI does not calculate tax, process payroll or make wage payments. Exported records need further review and processing by your organisation, accountant or payroll provider.
