Problems with managing sites separately

Many organisations grow one location at a time, and their systems grow the same way: a spreadsheet per site, a group chat per manager and a slightly different version of the rota in each. It works until someone needs the full picture.

Then the gaps show. One site is short on Saturday while another is running overtime. Leave clashes are spotted late. Each location has its own clock-in arrangements, and at the end of the month someone combines attendance and timesheets from every workplace by hand before staffing costs can be compared.

Organise each workplace clearly

On multi-site plans, authorised managers can set up separate workplaces and, for each one, its own rota, site managers, departments or teams and staff assignments. Availability, approved leave, scheduled hours, attendance records and labour-cost information all sit against the right site.

Not everyone sees everything. What each person can view depends on their existing permissions and responsibilities — a site manager can be limited to the workplaces they look after, while employees see their own shifts.

Build and publish site-specific rotas

Managers see staff availability and approved leave while creating shifts for the correct site, check each site’s coverage, watch scheduled hours and review potential overtime. An AI-suggested draft can be a starting point, but it is never published automatically — a manager reviews and approves it first. Once published, employees see the shifts relevant to them. Site-specific attendance verification

Employees clock in and out on supported devices. Depending on configuration, each site can use:

  • Optional location verification with its own permitted radius
  • Its own authorised Wi-Fi details, where configured
  • An optional photograph request after repeated failed attempts
  • Manager review of attendance exceptions

Site A’s Wi-Fi never validates a clock-in at Site B. These options depend on configuration and cannot prevent every form of misuse.

Central attendance review

Authorised managers review attendance from the sites they are responsible for. Each record shows the scheduled site and shift, the actual clock-in and clock-out and the verification result. Early clock-ins, late arrivals, missing clock-outs and unusually long shifts are flagged, any manager-authorised correction is recorded, and final hours are approved. This is a review of clock records, not live surveillance or continuous tracking.

Compare hours and estimated costs

Look at scheduled hours by site and estimated labour cost based on the pay rates you enter. Compare each week with your staffing budget, spot potential overtime and coverage gaps, and check attendance exceptions and differences between scheduled and recorded hours.

Yes. Scheduled hours are shown as the rota is built, and potential overtime is highlighted so managers can review it before publishing.

Can approved hours be exported for payroll?

Yes. After attendance exceptions are resolved and hours approved, authorised managers can export payroll-ready records as a spreadsheet file.

Does WorkPilotAI process payroll?
