Problems with informal shift swaps

Most swaps start with a quick message: “Can anyone do my Thursday?” Someone replies, a thumbs-up follows, and the manager may only find out when the wrong person turns up — or nobody does. Different managers hear different versions, staff work from an old screenshot, and nobody checked whether the colleague was on holiday or already close to their weekly hours.

Not every swap request can or should be approved. What helps is a clear process where the right person sees the request and makes the decision.

Employee shift-swap requests

Employees sign in to their own account to see their upcoming shifts. They choose the shift, select the colleague they would like to swap with, add an optional note and submit the request for manager review. They can then follow its status — pending, approved or declined. Submitting a request does not take anyone off a shift.

A shift remains the employee’s responsibility until an authorised manager approves the change and the rota is updated.

Keep managers in control

Authorised managers see pending swap requests in one place. Before deciding, they can look at the current rota, the colleague’s availability and approved leave, coverage for that day and the hours each person is already scheduled for. They then approve or decline, the decision is recorded, and they publish the updated rota where needed.

Connect shift swaps with availability and leave

A swap touches several things at once: the published shift, each person’s availability, any approved holiday, the request itself, the manager’s decision and the final rota coverage. Being available does not guarantee approval — managers remain responsible for deciding whether a proposed change is appropriate.

Avoid conflicting rota versions

When a swap is approved, the shift is reassigned on the rota itself, so everyone can refer to the latest published schedule rather than piecing it together. Structured requests can reduce reliance on:

Attendance after an approved swap

Once the rota is updated, attendance is reviewed against the newly scheduled employee and shift — scheduled start and finish, clock-in and clock-out, early clock-ins, late arrivals, missing clock-outs and other attendance exceptions. Overtime and labour-cost awareness

Moving a shift can push someone over their usual hours. Before approving, managers should consider scheduled hours, potential overtime and estimated labour costs. See labour cost management.

After a swap, attendance should be reviewed against the final approved rota before hours are exported. Read about payroll-ready timesheets.

WorkPilotAI does not process payroll or make wage payments. Exported records require further review and processing by the organisation, accountant or payroll provider.

Every new account begins with a 30-day trial. A card is required to start, nothing is charged during the first 30 days, and your selected paid plan begins automatically unless you cancel. What is an employee shift swap app?
