Information that may support a draft

Before a draft is prepared, the planner shows the manager what will be taken into account. This can include:

  • Scheduled hours and the rest settings you configure
  • Existing rota information

The AI does not verify qualifications, licences, clinical competence, employment contracts or safe staffing levels.

Depending on the mode chosen, the planner can suggest a draft rota or fill gaps in an existing one, highlight possible coverage shortages, point out conflicting information, help managers look over scheduled hours and present all of this for the manager to consider. It does not guarantee complete coverage and never makes the final decision.

Can WorkPilotAI create a draft staff rota?

Yes. Authorised managers can ask the AI rota planner to fill gaps, build a proposed week or suggest improvements to an existing draft.

Does AI publish rotas automatically?

No. Nothing is saved or published until a manager accepts the draft, and staff only see shifts once a manager publishes the rota.

Can managers edit AI suggestions?

Yes. Managers can change proposed shifts before accepting them, and can keep editing the rota afterwards.

Can managers reject an AI-generated draft?

Yes. A manager can reject a draft, and the existing rota stays as it was.

Does AI approve leave or shift swaps?

No. Leave and shift-swap requests are only approved or declined by authorised managers.

Does AI guarantee full shift coverage?

No. A draft may leave gaps, and these are shown as shortages for the manager to resolve.

Does AI check employee qualifications or licences?

No. It can take account of positions and skills that managers have recorded in WorkPilotAI, but it does not verify qualifications, licences or certificates.

Does AI guarantee compliance with working-time rules?

No. It takes account of the rest and weekly-hours settings your workplace enters, but it does not give legal advice or guarantee compliance. Managers remain responsible for checking every rota.

Can AI consider employee availability?

Yes. Availability recorded in WorkPilotAI is included when preparing a draft.

Can approved leave be considered when preparing rotas?

Yes. Approved leave is taken into account, so people on leave are not proposed for shifts that day.

Can managers review potential overtime?

Yes. Managers can see scheduled hours and estimated labour costs against any budget they have set before accepting a draft.

Does AI approve timesheets or payroll?

No. AI does not approve hours or calculate payroll. WorkPilotAI does not process payroll.

Does AI replace a manager?

Is employee information reviewed by authorised managers?
